The following are the 11 suggested steps that you take to set up your vault.

Step One – Your Profile and Security questions
Once you have selected your plan and have logged in, the first thing to do is to complete your security questions profile information. This is just the usual basic information about you, security settings and change your password.

You will need to set the answers to three questions which are required for actions such as forgotten passwords and end user resets in case you get logged out.

Step Two – Your Lawyers and Financial Advisors
Set up your Lawyers and Accountants. This would usually be the lawyer or solicitor who holds your will and is one of the first points of contacts in the event of your death.

You will find the "Add Lawyer" and" Add Financial Advisor" option by selecting Contacts on the side bar.

You have the option to set up as many Lawyers and Financial Advisor as you need. For example you may use a different law firm for your business or you may have properties in multiple countries where a local lawyer has acted for you.

Step Three – The Executors of your Will
If you have some executors for your Will then you will need to provide their contact details for your next of kin.

You can find the "Add Executor" option under Contacts section on the side bar.

Step Four – Your Beneficiaries
Now you should enter the information about people who you wish to have access to your vault in the event of your death.

You can find the "Add Beneficiaries" option under Contacts > Beneficiaries

As you add in your beneficiaries you will have the option to create a vault for each of them.

Step Five – Set up your Lockers
Before you start dropping documents into your Master Vault take a moment to think how you want to store everything that you are going to keep there.

Locker Suggestions

  • Certificates (Weddings, birth)
  • Official Documents (ID, Social Insurance, Passport etc.)
  • Financial (Bank details, Stock and Shares, Credit Card copies, Loans)
  • Insurance (Home, Life, Car, Injury, Medical)
  • House and Home (Mortgage, House Insurance)
  • Memories (Pictures and special images)
  • In the event of my death (Wills, last wishes, funeral arrangements, Power of Attorney)
  • Video Locker (Family memories)

Step Six – Set up additional Vaults
As mentioned earlier, you should set up vaults for your beneficiaries. Simply do this by clicking on the relevant profile and then select "Add Vault". You will be prompted to give the vault a name so use something meaningful like "Linda's Vault".

However, you may wish to create an additional vault in which you store all of your documents for one of your family members to manage. In fact, you may wish to set up two such vaults and assign them to two different family members.

To create a new vault you will need to go to Master Vault > Add Vault at the top right. You will then need to give the vault a name and assign it to someone. Please note that you will need to have set up your family members in your "Contacts" details in order to assign a vault to a person.

Step Seven – Set up your Beneficiaries Lockers
In the same way that you set up your own lockers you need to set up lockers for your beneficiaries in their respective Vaults. You can either do this manually or a simpler way is to clone lockers from your Master Vault to your beneficiaries.

Beneficiaries Locker Suggestions

  • Memories (Pictures and special images)
  • Special messages (Personalised messages to loved ones)
  • In the event of my death (Wills, last wishes, funeral arrangements, Power of Attorney)
  • Video Locker (Family memories)

Step Eight – Define your Tags
Mii-VAULT has a search facility so that you can easily find your documents simply by typing the first few characters of the document name or by tags. Why not write down a list of potential tags that you may wish to use once you have uploaded your documents.

Suggestions for tags

  • A beneficiary name
  • Insurance
  • Will
  • Certificate
  • Pension
  • Bank
  • Medical
  • Tax
  • Family
  • Audio
  • Image
  • Video
  • Media

Step Nine – Upload your Documents and Media
Now it's time to upload all of your documents into your vault.

You may either drag and drop your files into the Master Vault or you can upload them with the upload button. Tip: Click on a locker and upload files directly to that locker.

Step Ten – Assign your Documents
Once you have uploaded the documents in the Master Vault you can then assign each document to a beneficiary vault.

When you assign a document to another vault it can only be seen by yourself or the person who you have created the vault for.

You can easily assign document by cloning lockers from the Master Vault to the beneficiary Vault.

Step Eleven - Notify your Beneficiaries, Lawyers and Executors
Now that you have set up your vault it would be a pretty good idea to tell people about it and ask them to set up their passwords.

  • Notify your Key Holders and ask them to store the password to unlock the vault along with your will. Please see the section on "Communication to Lawyers" for more details.
  • Notify the Executors of your will and ask them to store the password to unlock the vault in a safe place. Please see the section on "Communication to Executors" for more details.
  • Finally you will need to tell all of your beneficiaries who you wish to have access to the vault that you have created a Mii-VAULT Vault. Notify them and ask them to create and store their login and password to gain access the vault. Please see the section on "Communication to Family" for more details.
